Think of it like a tree: CURRICULUM └── GRADE └── SUBJECT └── CLASS (called "Section") ├── PRICING PLANS ├── TIMETABLE SLOTS └── ENROLLED STUDENTS EXAMPLE: Curriculum : IB Diploma Grade : Grade 11 Subject : Mathematics AA Higher Level Class : Section A — Morning Batch (Group, 15 students) Class : Sarah's Private Math (1-to-1, 1 student) This means: Before you can create a class, you must first create the Curriculum, then the Grade inside it, then the Subject inside that grade. Only then can you create a Class. ================================================================ PART 2: STEP 1 — CREATE A CURRICULUM ================================================================ WHO DOES THIS: Admin only WHAT IS A CURRICULUM? A curriculum is the education board or system. Examples: - IB (International Baccalaureate) - IGCSE (Cambridge) - CBSE (Indian Central Board) - A-Levels - GCSE - SAT / ACT Prep HOW TO CREATE: 1. Log in as Admin 2. Go to Admin Panel → Curricula Manager 3. Click "Add New Curriculum" button (gold button, top right) 4. Fill in the form: CURRICULUM NAME : Type the full name e.g. "International Baccalaureate" SHORT NAME / CODE : e.g. "IB" (shown on badges) DESCRIPTION : Brief explanation of this curriculum e.g. "Globally recognized diploma for Grades 11-12" ICON / EMOJI : Pick an emoji to represent it e.g. 🌍 for IB, 🇬🇧 for IGCSE, 🇮🇳 for CBSE STATUS : Active (students can see it) or Inactive (hidden) DISPLAY ORDER : Which order it appears on the website e.g. 1 = shown first 5. Click "Save Curriculum" RESULT: The curriculum now appears on the public website and inside the admin panel. You can add grades to it next. MANAGE EXISTING CURRICULA: View → See all curricula in a table with name, grade count, status Edit → Click the edit (pencil) icon on any row to change details Delete → Click delete (trash) icon — only allowed if no grades exist inside If grades exist, you must delete those first Toggle → Click the Active/Inactive toggle to show or hide from public ================================================================ PART 3: STEP 2 — CREATE A GRADE ================================================================ WHO DOES THIS: Admin only WHAT IS A GRADE? A grade is the year level or stage within a curriculum. Examples: - IB Diploma → Grade 11, Grade 12 - IGCSE → Grade 9, Grade 10 - CBSE → Grade 6, Grade 7, Grade 8 ... Grade 12 - A-Levels → AS Level, A2 Level - SAT Prep → SAT Math, SAT English (treated as grade levels) HOW TO CREATE: 1. Go to Admin Panel → Curricula Manager 2. Click on the curriculum you want to add a grade to e.g. Click on "IB Diploma" 3. You will see a "Grades" section below the curriculum details 4. Click "Add Grade" button 5. Fill in the form: GRADE NAME : e.g. "Grade 11" or "Year 1" or "O Level" DESCRIPTION : Optional short note e.g. "First year of IB Diploma Programme" DISPLAY ORDER : Which order this grade appears in the list STATUS : Active or Inactive 6. Click "Save Grade" RESULT: Grade 11 now appears under IB Diploma. You can add more grades (Grade 12, etc.) the same way. MANAGE GRADES: View → All grades listed under their curriculum Edit → Click pencil icon on the grade row Delete → Only if no subjects exist inside that grade Reorder → Drag and drop grades to change display order ================================================================ PART 4: STEP 3 — CREATE A SUBJECT ================================================================ WHO DOES THIS: Admin only WHAT IS A SUBJECT? A subject is the actual topic students study. Examples: IB Diploma → Grade 11 → Mathematics AA Higher Level IB Diploma → Grade 11 → Physics Higher Level IGCSE → Grade 10 → Chemistry CBSE → Grade 12 → Accountancy HOW TO CREATE: 1. Go to Admin Panel → Curricula Manager 2. Navigate to: Curriculum → Grade e.g. IB Diploma → Grade 11 3. Click "Add Subject" button 4. Fill in the form: SUBJECT NAME : Full name e.g. "Mathematics AA Higher Level" SHORT NAME : e.g. "Math AA HL" (shown on cards/badges) CATEGORY : Choose one: Mathematics | Science | Humanities | Language | Arts | Business | Other DESCRIPTION : What this subject covers e.g. "Advanced mathematics covering calculus, statistics, and complex numbers for IB DP" OVERVIEW CONTENT : Detailed page content shown to students. This is like a sales page for the subject: - What you will learn (bullet points) - Who this is for - Exam board details - Prerequisites BASE FEE : Starting price shown on the subject card (Each class/section will have its own pricing) CURRENCY : USD, GBP, EUR, AED, INR etc. STATUS : Active or Inactive 5. Click "Save Subject" RESULT: The subject now appears under Grade 11 → IB Diploma. Students can browse to this subject page on the website. But they cannot enroll yet — you need to create a CLASS first. MANAGE SUBJECTS: View → See all subjects under a grade in a card or table view Edit → Update any subject details, description, or fee Delete → Only if no classes (sections) exist inside Preview → See how the subject page looks to students (public view) ================================================================ PART 5: STEP 4 — CREATE A CLASS ================================================================ WHO DOES THIS: Admin or Manager WHAT IS A CLASS? A class (called "Section" in the system) is the actual group or private session that students enroll into. One subject can have many classes. For example: Subject: Mathematics AA HL ├── Class: Section A — Morning Group (Mon/Wed/Fri 9am, 15 students) ├── Class: Section B — Evening Group (Tue/Thu 6pm, 12 students) └── Class: Private 1-to-1 with Mr. Arjun (flexible schedule) HOW TO CREATE A CLASS: 1. Go to Admin Panel → Curricula Manager 2. Navigate to the Subject e.g. IB Diploma → Grade 11 → Mathematics AA HL 3. Click "Add Class" or "Add Section" button 4. Fill in the form — there are 4 parts: ───────────────────────────────────────── PART A: BASIC CLASS INFORMATION ───────────────────────────────────────── CLASS NAME : Give it a clear name students will see e.g. "Section A — Morning Batch" e.g. "Evening Group — Batch 2026" e.g. "Private 1-to-1 with Mr. Arjun Krishnan" CLASS TYPE : Choose one: ● GROUP CLASS (1-to-Many) Multiple students in one class e.g. 15 students learning together ● PRIVATE CLASS (1-to-1) One student, one teacher Personalized sessions, higher fee ASSIGN TEACHER : Pick the teacher for this class (Only approved teachers appear in this list) e.g. Select "Arjun Krishnan" MAX STUDENTS : How many students can enroll For Group Class: e.g. 15 or 20 For Private (1-to-1): set to 1 automatically START DATE : When does this class begin? e.g. 01 June 2026 END DATE : When does this class finish? e.g. 30 November 2026 (or leave blank if ongoing) STATUS : Active (open for enrollment) or Inactive ───────────────────────────────────────── PART B: PRICING PLANS ───────────────────────────────────────── You can add MULTIPLE pricing options for the same class. Students will choose which plan they prefer when enrolling. WHAT'S INCLUDED : Bullet list of what student gets e.g. Live Zoom classes 3x per week Recorded class access Weekly assignments Monthly mock paper ───────────────────────────────────────── PART D: SAVE THE CLASS ───────────────────────────────────────── 5. Click "Save Class" RESULT: The class now exists under the subject. Students can see it on the subject page. But the TIMETABLE is still empty — teacher adds that next. ================================================================ PART 6: STEP 5 — TEACHER CREATES THEIR TIMETABLE ================================================================ WHO DOES THIS: The TEACHER themselves (from their own dashboard) Admin can also create/edit on teacher's behalf WHY TEACHER DOES THIS: Every teacher has different availability. Instead of admin guessing their schedule, each teacher logs in and sets their own available time slots for each class they teach. Students see this timetable BEFORE they enroll — so they know exactly when classes are before paying. HOW TEACHER CREATES THEIR TIMETABLE: 1. Teacher logs into their dashboard 2. Clicks "My Timetable" in the left sidebar 3. Sees a weekly calendar grid (Monday to Sunday, 6am to 10pm) 4. All slots start empty — teacher clicks on any empty slot OR clicks "Add Time Slot" button 5. A small form pops up. Teacher fills in: SELECT CLASS : Which class is this slot for? Dropdown shows all classes teacher is assigned to e.g. "Section A — Morning Batch (Math AA HL)" DAY : Which day of the week? Monday / Tuesday / Wednesday / Thursday / Friday / Saturday / Sunday START TIME : What time does class begin? e.g. 9:00 AM END TIME : What time does class finish? e.g. 10:30 AM TIMEZONE : Teacher's timezone (auto-filled from profile) e.g. Asia/Dubai or Asia/Kolkata or Europe/London Students see times converted to THEIR timezone REPEAT : Does this happen every week? ● Yes, every week (most common — recurring) ● No, just this one date (one-off session) ZOOM LINK : Two options: ● Auto-generate: System creates a Zoom meeting automatically using Zoom API — just click button ● Manual: Teacher pastes their own Zoom link 6. Click "Save Slot" 7. The slot appears as a colored block on the weekly grid 8. Please choose a different time." WHAT STUDENTS SEE: When a student visits the class page (before enrolling), they see the full timetable: ● Which days and times classes happen ● Teacher's name and photo ● Timezone shown in the student's local time ● "3 classes per week · Mon, Wed, Fri · 9:00–10:30am" This helps students decide if the schedule works for them BEFORE they pay and enroll. ================================================================ PART 7: MANAGING CLASSES — VIEW, EDIT, DELETE ================================================================ ───────────────────────────────────────── ADMIN VIEW — All Classes ───────────────────────────────────────── Location: Admin Panel → Curricula Manager → [Subject] → Classes What you see: A list/table of all classes under that subject showing: - Class name - Class type (Group or 1-to-1 badge) - Teacher name + avatar - Number of enrolled students / max students - Active pricing plans count - Next class date/time - Status badge (Active / Inactive / Full) - Action buttons: View | Edit | Delete ───────────────────────────────────────── VIEW A CLASS ───────────────────────────────────────── Click the EYE icon or class name to open the class detail page. You will see: Tab 1 — OVERVIEW Class name, type, teacher, dates, description Enrollment stats: X students enrolled out of Y max Seats remaining progress bar Tab 2 — TIMETABLE Full weekly schedule of all time slots Each slot shows: Day, Time, Duration, Zoom link status Admin can add/edit slots here too (not just teacher) Tab 3 — PRICING PLANS All pricing plans for this class Which plan is featured (Most Popular) How many students chose each plan Tab 4 — STUDENTS List of all enrolled students Columns: Name, Email, Plan chosen, Payment status, Enrolled date Actions: View profile, Suspend enrollment, Remove student Tab 5 — ASSIGNMENTS All assignments uploaded for this class by teacher Submission counts Tab 6 — RECORDINGS All recorded class videos uploaded for this class ───────────────────────────────────────── EDIT A CLASS ───────────────────────────────────────── Click the PENCIL icon on any class row. You can edit: ● Class name ● Class type (Group ↔ 1-to-1) WARNING: Changing type after students enrolled needs care ● Assigned teacher WARNING: Changing teacher notifies all enrolled students ● Max students ● Start date / End date ● Status (Active / Inactive) ● Class description ● Any pricing plan (add new plans, edit amounts, remove plans) WARNING: Cannot change price of a plan a student already paid for Create a NEW plan instead and deactivate the old one ● Timetable slots (add, edit, or remove time slots) After editing, click "Save Changes" System shows: "Class updated successfully" If teacher was changed: enrolled students get email notification ───────────────────────────────────────── DELETE A CLASS ───────────────────────────────────────── Click the TRASH icon on any class row. IMPORTANT — The system checks before deleting: If class has ACTIVE enrolled students: System BLOCKS deletion and shows: "Cannot delete this class. 12 students are currently enrolled. Please suspend or move all students before deleting." You must first: 1. Move students to another class, OR 2. Suspend all enrollments Then try deleting again. If class has NO active students: System asks: "Are you sure you want to delete Section A? This will also delete all timetable slots, pricing plans, assignments, and recordings for this class. This cannot be undone." Two buttons: "Yes, Delete" (red) | "Cancel" (grey) Click "Yes, Delete" to confirm. ALTERNATIVE TO DELETING — DEACTIVATE: Instead of deleting, you can just set Status = Inactive. The class disappears from the public website. Students already enrolled can still access it. No data is lost. You can reactivate anytime. This is the SAFER option. ───────────────────────────────────────── TEACHER VIEW — Their Own Classes ───────────────────────────────────────── Location: Teacher Dashboard → My Sections What teacher sees: Cards for each class they are assigned to: - Class name + subject name - Student count (e.g. 12 / 20) - Next class slot date and time - Zoom link button - Action buttons: View Students | Edit Timetable | Upload Assignment Teacher CANNOT: - Delete the class (admin only) - Change the class type (admin only) - Change pricing plans (admin only) - Add or remove students (admin/manager only) Teacher CAN: - Add, edit, delete their own timetable slots - Upload and manage assignments - Upload and publish recorded classes - View their student roster - Mark 1-to-1 sessions as complete ================================================================ PART 8: TEACHER TIMETABLE — VIEW, EDIT, DELETE SLOTS ================================================================ Location: Teacher Dashboard → My Timetable WHAT TEACHER SEES: A full weekly grid calendar (7 days × time slots) Their class slots appear as colored blocks showing: - Class name (abbreviated) - Time range - Student count (for group classes) - Zoom icon if Zoom link is set ───────────────────────────────────────── VIEW A TIME SLOT ───────────────────────────────────────── Click on any colored slot block in the calendar. A side panel opens showing: Class name + subject Day and time Duration Recurring or one-off Zoom meeting link (click to test/join) Number of students in this class "Join Zoom" button (active on class day) ───────────────────────────────────────── EDIT A TIME SLOT ───────────────────────────────────────── Click the slot → click "Edit Slot" in the panel OR click the pencil icon directly on the slot block Teacher can change: - Day of the week - Start time / End time - Zoom link (regenerate or paste new) - One-off vs recurring Click "Save Changes" IMPORTANT: If teacher changes the day/time of a recurring slot, system asks: "Do you want to update just this week's class, or change the schedule permanently going forward?" ● Just this week ● All future slots (permanent change) If permanent change is chosen: All enrolled students automatically receive an email: "Schedule Update: Your Math AA HL class has moved from Monday 9:00am to Tuesday 10:00am starting next week." ───────────────────────────────────────── DELETE A TIME SLOT ───────────────────────────────────────── Click the slot → click "Delete Slot" (red button) in panel OR click trash icon on the slot block System asks: "Are you sure you want to remove Monday 9:00–10:30am from your timetable?" ● "Yes, Remove" | "Cancel" If students are enrolled in this class: System adds warning: "12 students are enrolled in this class. They will be notified that this slot has been removed." Student notification email is sent automatically. IMPORTANT: Deleting a SLOT does not delete the CLASS. The class still exists. Only that specific time slot is removed from the timetable.
